School Management Software: What to Look For Before You Buy

Choosing a school ERP is a long-term decision. Here are the features, questions and red flags principals and trustees should know.

Many schools still run admissions in registers, fees in Excel and parent communication through personal WhatsApp groups. School management software (often called a school ERP) can bring all of this into one system. But the market is crowded, and the wrong choice can frustrate staff for years. Here is how to choose well.

Start with your daily problems

Before comparing software, list what takes the most time or causes the most errors in your school. Common answers: fee follow-ups, attendance registers, report card preparation, and parents calling to ask the same questions. The right software solves these first.

Core features every school needs

Admissions and student records

Online or offline admission forms, document uploads, and a complete student profile including guardian details and government identifiers like APAAR ID.

Fee management

Fee structures by class, instalments, discounts, late fees, receipts by print or WhatsApp, and clear defaulter reports. This module alone often justifies the software.

Attendance

Quick daily marking by teachers on a phone, with automatic alerts to parents when a child is absent.

Exams and report cards

Marks entry by subject teachers, automatic grade and rank calculation, and report cards printed in your school's format.

Homework and communication

Teachers post homework with attachments; parents see it in an app. Circulars and notices reach every parent without manual forwarding.

Parent app

Parents check attendance, fees, homework and results for each child, reducing calls to the office.

Questions to ask every vendor

  1. Is it easy for our teachers? Ask for a demo using a real teacher, not just the principal.
  2. Does it work on basic Android phones and slow internet?
  3. Can it support Hindi?
  4. Who owns the data, and can we export it? You should be able to download all your data at any time.
  5. Where is the data stored, and how is it backed up?
  6. What does support look like? Phone, WhatsApp, on-site training?
  7. What is the total cost? Ask about per-student charges, SMS or WhatsApp costs, app fees and renewal increases.

Red flags

  • No free trial or live demo.
  • Long contracts with heavy cancellation penalties.
  • No way to export your data.
  • Support only by email.
  • Features that exist only "in the next update".

Children's data deserves extra care

Schools handle personal data of minors. Under India's Digital Personal Data Protection Act, processing children's data requires verifiable parental consent and extra safeguards. Choose software with role-based access, audit logs and secure hosting.

Plan the rollout

Start with one or two modules, such as fees and attendance, train staff, then add exams and the parent app. A phased rollout gets far better adoption than switching everything on at once.

Our school ERP, Vidyarise, is built for schools in Bihar: admissions, fees, attendance, exams and a parent app, with plans starting from ₹2,499 per year. Ask for a free demo.
